New in the docs: a 6-minute video that takes a private app from one-time login codes to invitation-only passwords. You invite a user, they set their own password from a secure email link, and you watch their access go from Sent to Active.
Watch it here: Invite users with email and password
Written guide: Email & password
What the video covers
- Open a private app and go to Users → Setup.
- Select Change Users Database and switch Login Method from Email Address + Login Code to Email Address + Password.
- Confirm the Email and Name properties, then Publish.
- On the Identity tab, set your role catalog (for example
Client, Admin) and save. - Select Add user and send invitation, then enter the user’s name, email, and role.
- The user opens the Set your password email, picks a password, and signs in.
Login code vs. password
| Login method | How users sign in | Who handles the password |
|---|---|---|
| Email Address + Login Code | A one-time code is emailed each time they log in | No password |
| Email Address + Password | Set once from an expiring invitation link | NotionApps hosts it. You never create or see it |
Public signup stays off for invited users. Only the email address you add gets an invitation.
Before you switch
Changing the Users database or login method logs out all current app users, clears screen visibility logic, and removes User Relation–based data restriction. Make the switch before you build visibility rules, or plan to re-check them afterward.
